Situation: Painful Invoice Processes & Time-Consuming Timesheets

Without a centralized system, Lewis’s payroll processing and customer invoicing were challenging, slow, and manual. To put it in perspective, the company processed 86,000 spreadsheets for payroll each year. This required nearly 45 full-time employees to complete, and the General Foreman had to enter the same data four times.

“The general foremen were being pulled in so many directions that it was causing inefficiencies in operations,” says Huntley Hedrick, VP of IT at Lewis.

Weekends of time-consuming work made for unhappy employees, payroll delays, slow revenue realization, and poor customer experiences.

Solution: Data Platform & Custom Application

Using ProArch’s Dataware Data Platform, the team integrated the HR and ERP systems into a data warehouse and then developed a custom application called “Tiempo.”

The data modeling in the background simultaneously calculates payroll and invoices based on customized rules by location, job type, pay rate, employee, and start/end time.

Results: A Game-Changer All Around

  • Lewis has experienced a 90% reduction in the overall effort with a clear, streamlined process for time entry, timesheet creation, and approval.
  • Advanced reporting capabilities using data from different systems.
  • Before, Lewis experienced a high volume of invoice adjustments. Now, it is a 3% adjustment rate.
  • Customers have a better experience, and Lewis can realize revenue faster.
  • Lewis owns the tool so they can avoid future costly and complex ERP upgrades and customization.

For the general foremen, Tiempo has been transformational. Hedrick added, “What I’ve observed with the rollout of Tiempo has been greater than anything that I’ve ever seen in my career with how accepted it’s been in such a short amount of time.”

Nonprofit Health System Replaces Legacy DLP with Microsoft Purview

About the Client

A large nonprofit integrated health system operating hospitals, outpatient facilities, and other care locations needed to strengthen the protection of protected health information across its enterprise environment.

With more than 20,000 users working across clinical, administrative, and operational functions, the health system needed a more consistent way to identify, classify, and protect sensitive data across Microsoft 365 and on-premises repositories.

With ProArch’s Microsoft Purview expertise, the organization replaced its legacy data loss prevention platform, strengthened information protection, improved data loss prevention, and established an ongoing managed services program for alert monitoring, policy management, and governance.

Services

Challenge

The non-profit health system relied on a legacy data loss prevention (DLP) platform to protect PHI and other regulated data across an environment of more than 20,000 users.

However, classification, labeling, and policy enforcement were not always consistent across Microsoft 365. The organization also had limited visibility into sensitive data stored across cloud and on-premises environments.

Replacing the existing DLP platform introduced another challenge: the organization needed to move to Microsoft Purview without weakening data protection or creating compliance gaps during the transition.

It also needed a sustainable operating model for managing policies, reviewing alerts, and adapting controls as clinical workflows, collaboration practices, data sources, and regulatory requirements evolved.

Solution

ProArch designed, deployed, and operationalized a comprehensive Microsoft Purview Data Security Program tailored to the scale and complexity of the health system’s environment.

  • A Planned Move to Microsoft Purview

ProArch planned and executed the migration from the legacy DLP platform to Microsoft Purview while maintaining protection across an environment for more than 20,000 users.

  • Consistent Classification and Labeling

The ProArch team configured sensitive information types, sensitivity labels, and policies to bring greater consistency to information protection.

Exact Data Match classifiers, supported by automated daily data ingestion, improved the identification of regulated healthcare data.

  • Protection Across Microsoft 365 and On-Premises Data

ProArch built automated workflows for SharePoint sites and document libraries so sensitivity labels could be applied more consistently.

Microsoft Purview Information Protection Scanner was also deployed to discover and label data at rest in on-premises repositories extending coverage to PDF files.

  • Ongoing Monitoring and Policy Management

The engagement continued through ProArch’s managed data security services. ProArch provides daily alert triage, strategic guidance, KPI reporting, quarterly policy lifecycle reviews, and ongoing collaboration with business stakeholders and data owners.

This operating model helps policies stay relevant as the organization, its data, and regulatory expectations evolve.

Outcomes

The health system successfully replaced its legacy DLP platform and established Microsoft Purview as the foundation of a scalable information protection program.

The organization now benefits from:

  • Consistent classification, sensitivity labeling, and DLP protection for more than 20,000 users
  • Broader visibility into sensitive data stored across Microsoft 365 and on-premises repositories
  • A successful migration to Microsoft Purview with continued focus on PHI protection
  • Daily alert triage and structured policy lifecycle management through managed services
  • Greater executive visibility through KPI reporting and recurring governance reviews
  • A stronger governed data foundation for future AI and Microsoft 365 Copilot readiness

Most importantly, data protection is no longer treated as a one-time deployment. The health system now has an actively managed program that can adapt as the organization introduces new data sources, collaboration patterns, and AI tools.
